What the scale is actually doing in there
Every time hot water sits in a machine, minerals drop out and stick to metal. On a water heater element, that crust acts like a blanket. The element has to run hotter and longer to heat the same water, so it burns out sooner. In a dishwasher, scale narrows the spray arm holes and coats the little screen at the bottom of the tub. Less water gets thrown, so dishes come out gritty. In a washer, scale builds on the inlet valve screens and slows the fill. None of this fails all at once. It just quietly shaves months off the life of parts you never see.
The habit that prevents most of it
Run a rinse cycle with something acidic. That's it. For a dishwasher: pull the racks, wipe the door gasket, put two cups of white vinegar in a bowl on the top rack, and run the hottest normal cycle with nothing else inside. For a washer: run the cleaning cycle if it has one, or a hot empty cycle with vinegar in the drum, not the bleach cup. Also unscrew the washer fill hoses once in a while and rinse the little mesh screens under the tap. They clog with grit and sand. Water off first, and keep a towel handy.
How often, realistically
Around here, monthly beats quarterly. Vegas water is hard, and evaporative coolers swing the humidity, so things dry out and crust fast. Dishwasher vinegar rinse: once a month. Washer drum clean: once a month if you use cold water and liquid detergent, since those leave more residue. Fill-hose screens: twice a year. Refrigerator water filter: change it on the schedule in the manual, not when the water tastes bad — by then the filter is loaded. If you have a softener, check the salt monthly. An empty brine tank means you've been on hard water for weeks without knowing.
Signs prevention already came too late
Cloudy glasses that don't improve after a vinegar cycle mean the scale is on the heating element and spray arms, not the dishes. A water heater that pops, rumbles, or takes longer to recover has sediment sitting on the bottom. A washer that takes many minutes to fill, or fills unevenly hot and cold, usually has plugged valve screens or a valve that's sticking. Ice makers that turn out hollow, small cubes are often starved by a scaled line. Steam ovens and coffee units flash descale warnings and then stop heating. At that point cleaning won't reverse it — the part needs looking at.
